Source:- I found this on my college LAN. Seniors had kept it in GRE section. I used this, so maybe this could be a part of our Mission Fall-10.

- Green Thread Lined Envelope, in which you would send your courier.
- Plain Plastic Folders, to keep all your documents intact within the cover.

Arrange the documents as instructed below inside the folder.
1. U-pin the application fee draft to the Application Form (please write in pencil your name and the degree and term you are applying for behind the Fee draft) OR if you have filled online Application form then pls send your Application Submission Confirmation sheet with the Application package. In this case there will be no Fee draft as you will pay online.
2. Place the attested Mark sheets and Transcripts Envelopes . (If your universities need two sets of marksheets and transcripts in that case you need to send two sets to the universities.
3. Place Recommendation Letters Envelopes
4. Bank Letter and Affidavit of Support
5. Statement of Purpose Essay
6. Photocopy of TOEFL and GRE Score Sheets (OPTIONAL)
7. Extra-Curricular Certificates OR Resume
8. Project Synopsis
9. Photocopy of Passport - first and last page
10. Supplmental forms like Recommendation, Financial Certification Forms etc which needs to be hand filled with Black Pen in CAPITALS and have to be sent with the Application package.

Things to remember
• Write the university address and the telephone number in the center of the envelope.
• Write your address and the telephone number on the left hand corner or at the back of the envelope where the flap is placed

SOP essay (if submitted online) is not be included.

Bank Letter/AoS is also optional unless explicitly asked for by the university

Extra-curricular certificates, project synopsis should never be included.

I don't think photocopies of passport are required either.

I agree!

A lot of them require it! Speeds up the I-20

Extra-curricular certificates, project synopsis should never be included.
if u are mentioning BIG in ur SOP.. u better back it up!

I don't think photocopies of passport are required either.
many universities example USC require it!!

Yes second that about the extra certificates and project synopsis....

Passport photocopy is required if you're sending financial proofs along with your packet.....

Don't think the passport photocopy is required. Its pretty simple, you send them exactly what is asked. Nothing more, nothing less. You don't need to back up your mentioned ECA's or projects because the US college education system is all about the honor code, and you're supposed to live by it.

I would recommend people to send along the passport photocopy (required for generating your I-20) and finance documents along with the packet. It speeds up the I-20 process once you get an admit ! Also saves money as you wouldn't be required to send the finance documents again Smile

I'm currently not very active on edulix. So any PMs will be replied with a significant amount of delay. Apologize for that in advance

well i have ths info regarding the transcripts packets:

on these three spots (indicated by blue) u have to get a stamp from the school/university, and signature from principal/registrar.

this has to be done on all transcript envelopes.

i dunno kno how important this requirement is, but this was what i was told by my coaching.

^^^
Not necessary to have stamp and signature at all the 3 places. Getting it at one place (where you close the flap) is fine.

Quote:1. In this case there will be no Fee draft as you will pay online.

Most universities ask you to write your applicant ID or some other form of university ID on all the documents that you are sending. Even if they havent mentioned it it makes sense to include this as some documents go to the department and some other documents (like AoS and other financial docs) might go to the grad office.

2. Place the attested Mark sheets and Transcripts Envelopes . (If your universities need two sets of marksheets and transcripts in that case you need to send two sets to the universities.

3. Place Recommendation Letters Envelopes
Most universities now have an online system for placing recommendations.

4. Bank Letter and Affidavit of Support
Totally your call whether to include it or not. Most universities will ask you to send it once you have been granted admission anyway. If you want to save money, you can send it with your main chunk of documents

5. Statement of Purpose Essay
IMO, the most important document in your application followed by reco letters. Again some universities have this done online.

6. Photocopy of TOEFL and GRE Score Sheets (OPTIONAL)

7. Extra-Curricular Certificates OR Resume
Makes sense to include curriculum vitae. But other extra-curricular certificates are of no use to be honest.

8. Project Synopsis
Good idea to include this.

9. Photocopy of Passport - first and last page
Not necessary, but again your call.

10. Supplmental forms like Recommendation, Financial Certification Forms etc which needs to be hand filled with Black Pen in CAPITALS and have to be sent with the Application package.

I dont think Black or Blue Pen matters. Most forms are filled in print, so it makes sense to write in CAPS.

@ultraban
Most universities give the transcripts sealed in the fashion you have mentioned.

Important points about LORs (paper) :

1.It is also a good idea to ask your profs to sign across the envelopes to show it is authentic when they are giving you paper recommendation letters.

2.Better to get LORs on the letter head of college/company of which the prof/manager is a part of.

Another thing to remember

If a univ requires two or three sets of docs to different locations as in grad dept and intl ofc etc .... plz do it accordingly .Dont enclose multiple packets in one courier and send it to one dept hoping that it ll be forwarded to the concerned depts.

for example this was the case with UFL and OSU ....

There have been instances of them misplacing few of the docs ..... So plz dont risk ur app for such silly things!

Yes that is a good idea. Any experienced recommender will do it himself. But I guess even if you neglect the middle spot its fine. Cos the top and botom flaps enclose the envelopes fully. Smile

Wow nice work! Applause

I feel we can add this link to the FAQs thread under the same title!

One missing thing is Covering letter. These are the details one can add in the covering letter:

I recommend covering letter to have two sessions.

First is regarding our application details:

1) Applicant's full name
2) Birth date
3) Univ specific ID(If we have)
4) Applying department and season. Example: MS in EE, Fall 2010
5) Email or some contact ID

Second is what are the things you find in the envelope:
# Here name all the materials you are sending with that packet. For instance 1) SOP 2) Letter Of Recommendations - 3 3) Transcript - 2 copies etc.

Take a printout of the above details after typing them in a doc file. It is better rather than writing those above information with pen.

Some univs have their own covering letter or sheets to be attached with each docs. For example: TAMU had it's own covering letter to be attached with each doc in the envelop.e In that case, do remember to fill them up while sending.

I like to add one more thing.

I took two printout of the covering letter. One I kept inside the envelope with other docs. The other one, I pasted on the back side of the envelope. So that the univ official can easily identify your doc with the details in the first session and has an idea as to what materials are found inside. This will ensure speedy processing.
